Quality Assurance Reporting System
SBCTC’s Quality Assurance Reporting System (QARS) supports an accurate and timely data snapshot for the SBCTC Data Warehouse every term, reducing coding errors and inaccuracies that impact local, state, and federal reporting.
QARS uses reports to identify data errors and warnings for Classes, Students, and Employees. There are also data quality reports for Facilities and Finance, supplemental reports for enrollment or program tracking, and IPEDS HR reports.
Critical Errors must be corrected each term to prevent delays in processing the quarterly snapshot for the Data Warehouse. Most records with errors are excluded from the Data Warehouse (which may impact FTES). Classes, Students, and Employees with warnings are included in the quarterly snapshot and may reduce reporting accuracy. IPEDS HR reports are reviewed annually for submission to IPEDS.
Terms available are last term, current term, and next term. Data refreshes nightly. Changes in ctcLink will appear in QARS the next business day. Data source is SBCTC Master Data Views (SBMD) for most reports, but some may have additional sources.
Personally Identifiable Information (PII) is protected by role-based access. Viewing Student or Employee PII requires supervisor approval via the QARS Access Request Form.
